POSITION SUMMARY:

The Patient Access Coordinator (PAC) facilitates an optimized ASC and practice experience for patients, staff and physicians through effective scheduling practices & block schedule utilization. In addition, the PAC ensures that a patient's healthcare benefits are verified and that prior authorizations are performed in order to ensure the facilities and the patient know what to expect in terms of payment obligations. The PAC also supports the Medical Assistant with patient-facing duties, including walking the patient to his/her room, weighing the patient and assisting with room turnover responsibilities. The PAC also plays a vital role in ensuring adequate patient flow and prevention of backlog of patients by supporting the Practice Coordinator with reception area functions such as accepting payments, checking patients into the practice management system, ensuring paperwork is completed, etc. The PAC will also prepare patient charts & materials for following day's office visits and engaging with practice team members to cross-cover office duties, maintaining effective working relationships with all stakeholders, including physicians, advanced practice providers and ASC staff.

PRIMARY DUTIES AND RESPONSIBILITIES:

Benefits Coordination

* Contacts payers to obtain prior authorization for office visit or procedure as required by payer

* Contacts payers to verify patient benefits, co-pay and deductible information for office visits & procedures

* Updates patient records within practice management system

Patient Scheduling

* Engages with physician groups and/or patients in-person or via phone to coordinate office visits within practice, procedures with ASC or hospital, and surgeries as needed, updating practice and/or ASC scheduling system as process dictates

Patient Experience Coordination

* Prepares patients charts for the following day, ensuring clip boards & pens are sanitized prior to use

* Answers questions and provides information to patients with regard to office visit, procedure or surgery schedule, directing patient to appropriate resource if answers are not known

* Facilitate patient new or refill prescription requests with pharmacies

* Provides timely response with accurate information to patients, Physicians and other stakeholders

* Makes appointment reminder calls to patients as policies & procedures require doing so

Physician & Medical Group Communications

* Works with referring physician or other physician office to request patient records as requested by EHG Physician

* Follows protocols for informing referring physician and patient of post-procedure or lab results through mail, email, web portal, fax, phone call or other means of communication as agreed to by patient and as requested by referring physician practice

* Documents all communications with patient, physician, lab or other individual relevant to a particular patient in that patient's medical record

SECONDARY DUTIES AND RESPONSIBILITIES AS NEEDED:

Patient Engagement Support

* Provides welcoming and friendly greeting to patients & visitors whether in person or over the phone

* Ask all patients the COVID-screening questions & follow protocols for any patient exhibiting symptoms or who may be infectious to others

* Performs the patient check-in process, including collection of patient ID, insurance card & visit-related paperwork

* Verifies completeness of patient check-in process & documentation

* Updates patient accounts by recording personal and financial information in the practice management system

* Protects patients' rights by maintaining confidentiality of personal and financial information

* Facilitates patient flow process, following procedures around notifying Medical Assistant and/or Physician of patient arrival, providing updates to patients at designated intervals should there be a scheduling delay

* Collects up-front copayments and deductibles at time of check-in

* Provides patient with receipt for payments received

Patient Care & Workflow

* Escort patient from waiting area to exam room

* Complete patient chart & vitals in preparation for physician evaluation

* Complete room turnover responsibilities including sanitizing & cleaning after patient exits exam room

* Ensure adequate supplies & equipment are available in exam rooms

* Escort patient from exam room to lobby or work with patient to schedule follow-up appointment or procedure/surgery if ordered by physician
