Medical Records Specialist

Job Description:

The Medical Records Specialist is responsible day-to-day administrative and general office duties, receiving incoming calls in a prompt, courteous and professional manner, but not limited to word processing, faxing, and data exchange. Acts as a clinical liaison with physician's practices interacting with pre-visit services.

Primary Responsibilities:
-- Gathers and imports appropriate records to clinic EMR
-- Monitors, triages and distributes incoming faxes
-- Scans and indexes lab results, diagnostic study imaging and reports, chart notes, etc.
-- Communicates appropriately with patients, co-workers, and supervisors
-- Maintains patient account information keeping it up to date
-- Satisfies records requests to regional service providers, as needed
-- Follows all Clinic policies on safety and security; maintains restricted areas safe by safeguarding keyless entry codes and computer system passwords in strict confidentiality
-- Performs other related duties as assigned
Qualifications:
Education:
High school diploma or equivalent

Education/Certification/Licensing Requirements:
- Completion of Medical Terminology coursework, preferred;
- Knowledge of insurance processes and regulations preferred
- Bilingual English/Spanish, a plus

Experience:
- One year of scheduling experience in a healthcare setting, preferred
- Knowledge of medical terminology, insurance regulations, confidentiality regulations and best practices
- Knowledge of administrative processes, procedures, claims processing, and healthcare documentation
- Knowledge of patient care delivery systems and clinical practices

Must possess an ability to work in a team environment Ability to exercise a high degree of diplomacy and tact while multi-tasking, organizing and scheduling patients
Excellent customer service skills
Prompt and professional

Additional Abilities & Skills:
Ability to work well under pressure with minimal supervision
Strong organizational skills with an ability to prioritize and meet deadlines
Adheres to confidentiality, state, federal and HIPAA laws and guidelines with regard to patient records.

Equipment Operated:
Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.

Work Environment:
Well-lighted medical office. Exposure to communicable diseases and other conditions related to clinic setting. Work may be stressful due to a busy office.

Mental/Physical Requirements:
Must possess the physical and mental abilities to perform the tasks normally associated with office work involving sitting approximately 90% of the day with occasional standing, walking, reaching and lifting. Periodic stress occurs from handling many calls and dealing with patient requests.
