Job Title: Operations Manager, Administrative Services Department: Administration Reports to: Practice Administrator Supervises: All Support Staff (including, but not limited to: Patient Scheduling, Surgery Scheduling, New Patient Scheduling, Registration, Medical Records, Prior Authorizations) Overtime Status: Exempt Job Summary: A leadership position responsible for managing the daily non-clinical support operations of a growing regionally-recognized private surgical practice. The Operations Manager is responsible for optimizing the patient experience, for assisting with strategic operational planning with respect to the areas of supervision, and for educating members of the organization in support of the group's operational objectives. The Operations Manager models excellent patient service skills. Primary Responsibilities: -- Supports and upholds established policies, procedures, objectives, quality improvement, safety, environmental and infection control, and codes and requirements of accreditation and regulatory agencies -- Fosters professional and mutually beneficial relationships with local and regional health partners including hospital systems, ambulatory surgery centers, clinically-integrated networks, and referring providers -- Assists in the recruiting, hiring, orientation, development, and evaluation of clerical staff -- Understands and optimizes the patient experience in both inpatient and outpatient settings -- Critically evaluates, develops, and collaboratively implements patient-centered work flow -- Understands and effectively integrates practice workflows including patient registration, eligibility verification, prior authorization, and medical record management -- Collaborates with Management team in developing and implementing short- and long-term work plans and objectives for support operations' clerical functions -- Performs other duties as assigned Education: Bachelor's degree in a related field of study from an accredited school, preferred; completion of coursework in Medical Terminology, preferred Education/Certification/Licensing Requirements: Bilingual English/Spanish, a plus Experience: Five years' experience in a related field as an individual contributor, one to three years' experience in a supervisory role; Experience in areas of personnel management, operations management and advancing related organizational initiatives, required Performance Requirements: Qualifications: Proficiency with the electronic medical record, and practice management and patient engagement software Analytical ability to evaluate processes and to recommend improvements Excellent verbal and written communication skills Strong commitment to formalized orientation and training of staff on an on-going basisAbility to exercise a high degree of diplomacy and tact while multi-tasking, organizing and communicating with patients, business partners, vendors and public Knowledge: Knowledge of medical terminology and organization services Knowledge of administrative processes, procedures, claims processing and scheduling Familiarity with process improvement tools such as LEAN, a plus Familiarity with Revenue Cycle management Additional Abilities & Skills: Ability to use good customer service skills, in person and on the telephone Ability to work well under pressure, independently with minimal supervision Service recovery skills and experience Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc. Work Environment: Well-lighted medical office. Exposure to communicable diseases and other conditions related to clinic setting. Occasional early morning and evening work. Mental/Physical Requirements: Must possess the physical and mental abilities to perform the tasks normally associated with office work involving sitting approximately 75% of the day with occasional standing, walking, reaching and lifting. Periodic stress occurs from handling many calls and dealing with patient requests. Starting Salary: $50,000 - $55,000 PM21
